🧑‍🤝‍🧑 Hippo Recaller Roles & Permissions

Overview of Hippo Recaller user roles, permissions, and how to request new users be added by the Hippo team.

Hippo is designed to support teamwork, but different users have different levels of access. This ensures your recall process runs smoothly, without accidental changes to critical settings.


🦸 Super Users

Who they are:
Usually practice managers, team leads, or whoever oversees your recall process.

What they can do:

  • Set up and manage Recall Campaigns (automated messages)

  • Choose how patients are contacted (text, email, WhatsApp, NHS App)

  • Decide how often messages go out and when to stop them

  • Adjust campaign settings (e.g. buffer times, message volumes)

  • View Practice Analytics to track recall performance

  • Support the team with setup, training, and troubleshooting


👩 Admin & Recall Staff

Who they are:
The team members responsible for manual recalls — following up with patients who haven’t responded to automated invites.

What they can do:

  • Work through the Recall List

  • Call patients and log outcomes (e.g. “Booked”, “Declined”, “No response”)

  • Check what care a patient needs before booking them in

  • Flag issues like incorrect contact details or out-of-area patients

  • View their own daily recall stats at the top of the Recall List

💬 No settings access: Admins can’t change campaign settings or configurations — that’s reserved for Super Users.


👩‍⚕️ Clinicians/Reception Staff (optional)

Some practices give clinicians manual recall access to see a patient’s recall status.
They don’t use Hippo to deliver care, but this view can help during consultations or for reception staff if patients come in querying recall messages.


🛠 Adding New Users

Currently, you can’t add new users yourself in Hippo Recaller.
If you need to add someone:

  • Send us their email address

  • Tell us which permissions they require (Super User or Recall List only)

Our team will set them up for you.
