๐Ÿš€ Your Hippo Onboarding: What You Need to Do (Just 3 Essential Steps)

New to Hippo? Hereโ€™s exactly what you need to do (only 3 steps!) and what weโ€™ll handle for you.

This page explains exactly what you need to do to get started โ€” and the good news is:

Your dedicated Customer Success Manager will guide you through the full process.


โœ… Step 1 โ€” Share your key details

Please complete our setup form. This will be sent to you by our Sales Team once your contract has been signed.

Weโ€™ll ask for:

  • Main practice contact

  • EMIS CDB + ODS numbers

  • List of Hippo users

This ensures we configure Hippo correctly from day one.


๐Ÿ” Step 2 โ€” Create an EMIS login for Hippo

This is the most important step, please read carefully

To set up your Hippo Recaller, we must have:

โœ” An EMIS login created specifically for Hippo

โœ” with Practice Manager permissions

This login allows us to:

  • Configure your Recaller correctly

  • Integrate with EMIS

  • Support you long-term

  • Troubleshoot quickly if anything comes up

Once you have set this up, please make sure that:

  • The details are correct and tested, and that the role is Practice Manager

  • The credentials are entered into the Typeform (or emailed to us separately on [email protected])

โ— Common issues that delay onboarding:

  • Login created with the wrong permissions (e.g. Clerical Manager)

  • Login details missing from the form (these fields are marked as optional on Typeform, but we do need them)

What Happens Next

Once you have completed Steps 1 and 2, Hippo handles the technical setup.

Weโ€™ll activate your integrations, prepare your environment, run tests, and get everything ready for launch. This normally takes around 2 weeks.

Once we've completed the set up, you will get an email from us asking you to set a password for your account. The invite link is active for 7 days, after this it will expire. If it expires, please reach out to us to send you a new invite link.

We will also contact you to book your Hippo Setup Session.


๐Ÿ’ป Your Hippo Setup Session

When technical setup is complete and you have accessed your Hippo account, weโ€™ll meet with your team to:

  • Create Hippo user accounts

  • Help everyone log in

  • Give a walkthrough of key features

  • Set up your first recall campaigns

  • Answer any questions

By the end of this session, youโ€™ll be fully ready to go live.
