Getting started can feel like a big step, but you don’t need to do everything at once. Here’s a best practice flow we’ve seen work well with new practices using Hippo Recaller for the first time.
✅ Week 1: Set up your first campaign
We recommend starting with just one or two indicators that are:
QOF-linked, to build early momentum (e.g. Hypertension or asthma reviews)
Linked to appointment types your practice uses regularly
Suitable for automated online booking
💡 Most practices begin with campaigns like:
Hypertension Reviews (HYP008 or HYP009)
Asthma Reviews (AST007)
These both require a booking and help familiarise your team with appointment-based workflows.
Alternatively, you might also want to start with a light-touch campaign like Smoking Status (SMOK002). This doesn't require an appointment and is completed via an online form (Typeform). It's a good way to get used to how Hippo handles automated messaging and writebacks.

✅ Week 2: Let the campaign run
Once your campaign is live, Hippo will begin sending automated invites to eligible patients. You can:
Monitor campaign progress in Practice Analytics
Watch for bookings (if your campaign is appointment-based)
Adjust volume or message preferences if needed
🕒 When does the Recall List start populating?
Patients only appear in the Recall List for the following reasons:
They’ve received all their scheduled automated messages and still haven’t responded
They don’t have mobile or email contact details
So, for example, if your campaign sends 4 messages per patient with 2-week intervals, you may not see anyone appear until week 6.
✅ This is completely normal. It just means Hippo is still taking care of the automated invites.
👍 Bonus: Plan your manual recall workflow
Once patients do start appearing in the Recall List, we suggest:
Assigning one or more team members to check it regularly
Aiming for 10–20 manual recalls per day per person (based on capacity)
Using the “Team Recalls Today” stat at the top of the Recall List to track activity
Use the Action Patient button to record patient outcomes and discussed actions.
