👥 Best Practice for Managing Your Recall Team

Running an effective recall campaign isn’t just about good tech, it’s about having the right people, time, and systems in place to follow through.

If you're a Super User managing your team’s recall work, here are some proven tips to get the most out of Hippo and your staff.


🧰 1. Make sure your team is set up for success

Before you start recalling:

  • Ensure everyone has logins and access to Hippo

  • Explain what the tool is and how it works

  • Book a quick team training session if needed

🎯 2. Set realistic recall targets

Even a rough goal can boost focus and momentum. You might aim for:

  • 10 calls per person per day

  • 50 completed recalls per week for the whole team

Track this using the “Team Recalls Today” counter at the top of the Recall List.


🕐 3. Block out dedicated recall time

Manual recalls won’t happen if no one has time to do them.

  • Choose a fixed time each day or week for recall sessions

  • Review how it’s going using the Practice Analytics tab

  • Adjust as needed depending on staff workload and patient demand


🏆 4. Create a bit of friendly competition

Some practices get great results by introducing light team challenges:

  • Who can complete the most recalls this week?

  • Prize for “Top Caller of the Month”

  • Just-for-fun leaderboards using the Analytics tab

This helps make recalling feel less like admin and more like a team goal.

Sometimes the best motivator is your example.
