⏱️ Configuring Recall Timing Rules

Adjust when patients become eligible for recall using the Hippo Eligible Delay and Post Registration Delay settings.

Updated over 2 months ago

Super Users now have access to a Recall Configuration page that lets you adjust two important settings that affect which patients are picked up by your automated campaigns.

These settings give you more control over when patients become eligible for recall in Hippo.

🔍 How to access the Recall Configuration page

  1. Click on your initial (top-right corner of the screen).

  2. Select Recall Configuration from the dropdown menu.

You’ll land on a page showing two settings: Hippo Eligible Delay and Post Registration Delay.

⏳ Hippo Eligible Delay

This setting controls how long after a patient’s last similar care activity they will be included in Hippo’s automatic recall campaigns.

Patients who’ve already had a relevant appointment or intervention within this window will be excluded from new recall campaigns, even if they technically qualify again under QOF rules.

Default: 6 months

You can increase or decrease this delay based on your practice preferences.

🧠 Why this matters:
Without this delay, some patients could be recalled immediately at the start of a new QOF year (e.g. if they had a review in January–March, they’d become QOF-eligible again in April).

The Hippo Eligible Delay gives your team a buffer to avoid recalling patients too frequently or unnecessarily, helping to spread out demand and reduce duplication.

🕰️ Post Registration Delay

This sets a buffer period after a new patient registers at your practice.

During this time, they will be excluded from recall campaigns, giving the practice time to conduct a new patient check, set up care plans, and ensure records are up to date.

Default: 75 days

You can increase or decrease this delay based on your practice preferences.

🧠 Why this matters:

This prevents new patients from being immediately recalled before you’ve had a chance to review their clinical history.

✏️ How to edit these settings

1️⃣ Click the Edit button on the Recall Configuration page.

2️⃣ Type in the number of months (for Hippo Eligible Delay) or days (for Post Registration Delay).

3️⃣ Click Save to apply your changes.

You can update these values at any time. Changes will take effect immediately and apply to all future recall logic.
