📅 Skipping Recalls for Patients With Booked Appointments

Exclude patients with upcoming appointments from recall campaigns to avoid duplicate invites and reduce admin.

You can now choose to exclude patients who already have an upcoming appointment, helping avoid unnecessary recalls.

This setting is optional and fully configurable from the Recall Configuration page.


🔧 How It Works

When enabled, Hippo will check whether each patient already has an appointment scheduled within a set number of days (e.g. 60 days).

If they do, they’ll be excluded from automated recall messages even if they’re eligible for care.

This helps:

  • Reduce message fatigue for patients

  • Prevent duplicate bookings

  • Give your team more control over workload


⚙️ How to Enable This Setting

To set this up:

1️⃣ Click on your initials in the top-right corner & select Recall Config

2️⃣ Click Edit

3️⃣ Toggle on Skip Patients with Upcoming Appointments

4️⃣ Enter the number of days to look ahead (e.g. 60)

5️⃣ Click Save

A green confirmation banner will appear on the bottom left hand corner of the screen


🔍 How It Affects Recall Campaigns

Once enabled:

  • Patients with a booked appointment within the configured window will not be included in automated recall campaigns.

  • These patients will be re-checked in the next recall run, so if they haven’t booked again, they’ll reappear later when appropriate.

  • Manual recalls are unaffected — you can still action patients manually if needed.


✅ Example Use Case

Your team has a 60-day delay set. Jane Smith is eligible for an asthma review but already has an appointment booked in 3 weeks.

✅ Hippo sees that she has an upcoming appointment

⛔ She’s excluded from the recall

📅 After her appointment, if care wasn’t coded, she’ll become eligible again in the next campaign run
