Welcome to Hippo! đ
You donât need to learn everything at once. What you should focus on first depends on what youâll mainly be using Hippo for.
This guide gives you a simple first-week plan and points you to the right Help Centre articles along the way.
đ First things first: get logged in
Before you start, make sure you have your own Hippo account.
Youâll receive a welcome email from:

đ€ Which path is right for you?
You only need to focus on the parts of Hippo that are relevant to your role.
If you mainly... | Start here |
Call patients and record what happened | đ Recall List caller |
Decide who should be recalled, when and how | đ» Campaign setter / Super User |
Work through data-quality and follow-up tasks | đ Worklists & admin |
Check whether an individual patient is due or has been recalled | đ©ș Clinician or reception |
Whichever route youâre taking, itâs worth spending your first 10 minutes getting familiar with the main areas of Hippo.
đ Recall List callers
If your job is to follow up patients who still need care, the Recall List is where youâll spend most of your time.
Day 1: learn the Recall List
Start with:
Then skim:
The main things to understand are:
How to filter the list
How to open a patient
What outstanding care theyâre due
How to record the outcome of your call
Days 2â3: start making calls
In the Recall List:
Use the Morbidity filter to select the indicator youâre working on
Set the patient filter to Patients requiring phone call
Open the patient
Make the call
Record what happened using Action Patient
A note is required when you record an outcome.
â ïž If you record that an appointment has been booked, make sure the appointment is also booked in EMIS or SystmOne. Recording the outcome in Hippo doesnât create the appointment for you.
Days 4â5: settle into a workflow
Once youâre comfortable with Action Patient, start working through the list consistently.
If several members of staff are making calls, read:
This explains how to coordinate work so two people donât contact the same patient unnecessarily.
đĄ Recall List looking surprisingly quiet? That can be completely normal, particularly at a new Hippo practice. Patients usually reach the Recall List after theyâve completed their automated Recall Flow without booking, so it can take time for the list to build up.
đ» Campaign setters / Super Users
If youâll be creating and managing automated Recall Campaigns, youâll need to understand both who Hippo should contact and how those patients should be recalled.
Day 1: understand how campaigns work
Start with:
For your first campaigns, itâs usually easiest to start with familiar areas of care where:
You understand the patient group
You know which appointments they should book
You already have appropriate appointment capacity
That gives you a chance to get comfortable with the campaign workflow before creating anything more complex.
Days 2â3: build your first campaign
Follow:
Before you start, it helps to know:
đŻ Which indicator you want to target
đ Which site patients should book at
đ
Which appointment or slot type they should use
đ„ Roughly how many patients you want to invite each day
There isnât currently a draft state in the campaign builder, so work through all of the steps and select Save once youâre ready.
Want to check your patient group first?
A campaign becomes Active when you save it.
If you want to sense-check it before recalls are sent:
Save the campaign
Pause it
Open Upcoming Recalls
Select Regenerate
Check the patients being selected
Use Check Patient Eligibility for any individual patients you want to investigate
Resume the campaign when youâre happy
đĄ See Choosing Targets, Exclusions & Patient Filters for more help with Patient Selection.
Days 4â5: review your recall settings
Once your first campaign is running, take some time to understand your wider practice settings.
Open Recall Config from your profile menu and read:
This will help you understand things like:
When patients should be skipped because they already have an appointment
Registration delays
How patients move through their Recall Flow
Itâs also worth reading:
so your team knows how to explain the service if patients ask.
After your first week: check how itâs going
Once recalls have started going out, use the reporting areas in Hippo to understand whatâs happening.
For example:
Recall Campaigns â progress for an individual campaign
Practice Analytics â indicator performance and manual recall activity
Advanced Analytics â broader automated recall trends and performance
Campaign stopped sending?
Start by checking appointment availability.
If Hippo canât find suitable slots, the campaign will still show as Active, but it wonât send new recalls until availability returns.
See Why Has My Campaign Stopped Sending? for the full troubleshooting guide.
đ Worklists & admin
If you help keep records tidy or resolve issues that prevent successful recalls, head to Worklists.
Hippo automatically identifies patients who need particular administrative follow-up.
Depending on your practice, you may see worklists such as:
âïž Incorrect Contact Details
â Patient Out of Area
𩞠Patients Requiring Bloods
đ©ș Unapproved Basic Health Data
Rather than trying to clear everything at once, work through one list at a time.
For Unapproved Basic Health Data, youâll be reviewing information patients have submitted through Hippoâs health questionnaire before it is written into their clinical record.
đĄ See Reviewing Unapproved Basic Health Data for the full workflow.
đ©ș Clinicians & reception
You may not need to use Hippo every day, but it can be useful when a patient asks:
âWhy have I been contacted?â
âWhat am I due?â
âHave I already booked something?â
Use the patient search at the top of Hippo to find them.
From See Patient, you can check their outstanding care and recall activity.
Useful guides include:
and:
This is usually much quicker than trying to work backwards from the message the patient received.
đ§âđ« Need some training?
If your practice is new to Hippo, weâll usually arrange a Hippo Setup Session with your team as part of onboarding.
See:
If youâve joined a practice that already uses Hippo and would benefit from a walkthrough, just get in touch.
Tell us:
Who needs training
What theyâll mainly be using Hippo for
Any particular areas theyâd like help with
That helps us make the session relevant to what you actually need to do.
â Frequently Asked Questions
What access do I need?
If youâll be creating or managing Recall Campaigns, youâll need Super User access.
If you mainly need to follow up patients through the Recall List, standard access is usually enough.
đĄ See Hippo Recaller Roles & Permissions for the full breakdown.
How do I add more staff to Hippo?
Each person needs their own account.
A Super User at your practice can invite them:
Click your initial (top right) â User Management â Invite Someone, using their NHS email.
Not a Super User? Ask one at your practice.
Never share another member of staffâs login.
My account set-up link has expired. What should I do?
Go to app.hippolabs.co.uk and use the password reset option with the email address your original invitation was sent to.
See Canât Log In? Set-up Links, Authenticator Codes & Access if you need more help.
I started creating a campaign but it has disappeared. Why?
A campaign is only created once you complete the builder and select Save on the final step.
If you leave before saving, youâll need to start the campaign again.
Why is my Recall List empty?
The Recall List isnât a list of everyone who is due care.
Patients generally move there when they need manual follow-up, for example after completing their automated Recall Flow without booking.
At a newly launched practice, it can therefore take a little while before many patients appear.
Do I need to learn every part of Hippo?
No.
Start with the area youâll actually use in your role, then build from there.
A Recall List caller doesnât need to learn campaign configuration on day one, and a clinician who only checks individual patients doesnât need to learn all of Practice Analytics.
đŠ Your first-week checklist
By the end of your first week, aim to be comfortable with the basics for your role:
Everyone: log in and know your way around the dashboard
đ Recall List callers: find patients, make calls and record outcomes
đ» Super Users: build, check and run a Recall Campaign
đ Admin teams: understand and work through your key Worklists
đ©ș Clinicians & reception: search for a patient and understand their recall status
You can pick up the rest as you need it.
